INTRODUCTION

Vitalis Medical Centre is a fast-growing private clinic offering GP consultations, diagnostics, and specialist referrals. With over 300 active patients and a front desk team overwhelmed by phone calls, walk-ins, and WhatsApp appointment requests, the clinic was losing patients to competitors simply because follow-ups never happened. Patient records were split across paper files, a basic EHR system, and staff phones. Retention was guesswork.

MY ROLE

I served as CRM Strategist and Patient Journey Architect. I designed the full patient lifecycle system — from first enquiry to long-term retention — using GoHighLevel as the operations backbone, integrated with their existing booking tool and WhatsApp Business.

HOW IT WORKS

  • Automated appointment booking flow with confirmation, 48hr reminder, and 2hr SMS reminder — reducing no-shows by removing manual calls

  • Post-visit follow-up sequence: same-day care summary email, 3-day check-in, 30-day wellness touchpoint, and annual recall campaign

  • Patient segmentation: New, Active, At-Risk, and Lapsed — each with a tailored re-engagement communication flow

  • WhatsApp Business integration for two-way appointment management — patients can confirm, reschedule, or cancel via automated chat

  • Staff operations dashboard showing daily appointments, no-show rate, patient retention score, and outstanding follow-ups

We have patients who come once and disappear. Our front desk is overwhelmed with calls to book appointments that could be automated. We've had no-shows costing us money every day, and we have no system to follow up with patients after their visit. We're a serious medical centre running on WhatsApp messages and memory.
