INTRODUCTION

Greenfield Developments was managing three active housing estate projects simultaneously — over 200 registered buyers, 8 sales agents, and a finance team tracking installment payments in Excel. The company had already suffered two high-profile double-allocation incidents that damaged buyer trust and generated legal threats. Management had no real-time view of plot availability, payment status, or agent performance. The crisis was operational.

MY ROLE

I came in as CRM Architect and Systems Integrator. I designed the full property management layer on GoHighLevel — plot registry, buyer records, payment tracking, agent pipeline, document workflows, and the management command dashboard that gave directors visibility across all three estates in real time.

HOW IT WORKS

  • Master plot registry built in GoHighLevel: every plot numbered and tagged Available, Reserved, or Sold — plot locked instantly on reservation to prevent any double booking

  • Buyer record per contact: full installment payment history, documents uploaded, allocated plot number, assigned agent, and communication log

  • Agent pipeline per estate: each agent sees only their assigned leads — commissions calculated automatically on payment milestone completion

  • Installment payment reminder sequence: automated SMS and email sent to buyers at 7 days, 3 days, and 1 day before each due date

  • Document automation: offer letters, payment receipts, and deeds of assignment auto-generated and sent via workflow at each milestone

  • Management dashboard: live plot availability heat map per estate, revenue collected vs target, agent leaderboard, and payment default alerts
